InTouch - Home Contact

Written by Ian Mitchell

InTouch is the home contact system within the Scouting association. This page outlines the mechanism that the Genesis Scout troop will employ for the various types of contact between the Troop Leaders and parents.

There are two times when we will contact you as parents. Firstly to keep you and the Scouts informed of what is going on within the troop and secondly when we need to contact a specific parent related to an incident, etc. at an event.

The broadcast of information is currently being done via email, however between Jan 1st 2014 and 31st March 2014 we will be migrating across to our Facebook group. At this point you will not receive any more emails directly from me. Letters, etc. will still be published to the website, however the Facebook group will be used instead of the email to notify you of the new information, etc.

All new parents should join the Genesis Scouts Facebook group to receive notifications.

Additionally you can follow us on Twitter for live event feeds from our media manager. We will not convey critical information via Twitter, i.e. our tweets are only for your information and amusement. Our twitter account is @genesisscouts.

In short we will use the website to publish information, Facebook to notify you of this information and to keep you up to date and Twitter for live event feeds.

Emergency Contact

For when we need to contact a parent directly, or you need to contact us the contact mechanisms are outlined below for the following types of events:

  • Regular Scout evenings
  • Day trips & Night Hikes
  • Weekend or Summer Camps

These additional contact mechansims are also described in further detail below:

  • Escalations
  • Parent Council

For each of the above the following descriptions will cover both how we as a leadership team will contact parents and how parents may make contact with us.

Regular Scout evenings:

  • We have a list of contact details for every Scout (if your details change please notify us as soon as possible), in the event of us needing to contact parents we will call parents directly via our mobile phones.
  • Any letters we need to send out to parents will be done via letters/forms posted on the website (links to the web forms, will be put into the emails).
  • Parents can contact us by visiting us in the hall (preferably prior to, or after the meeting) at any time.
  • Parents can contact us on our mobile numbers (published on the Genesis Troop leaders page on this website), however please be aware that mobile reception is very poor at the hut.
  • In the event that adverse weather prevents us from being able to host the evening, we will post a note on the home page of this site to that effect. This will be done upto 1 hour before Scouts, no such post means Scouts is still on.

Day trips & Night Hikes:

  • We have a list of contact details for every Scout (if your details change please notify us as soon as possible), in the event of us needing to contact parents we will call parents directly via our mobile phones.
  • Parents can contact us on our mobile numbers (published on the Genesis Troop leaders page on this website).
  • Please be aware that mobile reception could be poor at some locations, eg when on hikes. In this instance please send us an SMS message requesting us to call you back urgently, with a number.
  • Scouts are NOT allowed to have mobile phones (they will be confiscated if they are taken)

Weekend or Summer Camps:

  • We have a list of contact details for every Scout (if your details change please notify us as soon as possible), in the event of us needing to contact parents we will call parents directly via our mobile phones.
  • Parents can contact us on our mobile numbers (published on the Genesis Troop leaders page on this website).
  • Please be aware that mobile reception could be poor at some camp sites. In this instance please send us an SMS message requesting us to call you back urgently, with a number.
  • Scouts are NOT allowed to have mobile phones at camp (they will be confiscated if they are taken)

Escalations:

  • If you have any concerns or problems, in the first instance you should come directly to us, we are very approachable.
  • If you are unable to get hold of us, or feel you need to talk to someone else please contact our Group Scout Leader, whose details are on the Executive Team Page under the Group Executive section.

Parent Council:

  • The aim of the Parents Council is to provide a mechanism by which the parents collective views can be objectively voiced to the troop leadership.
  • The parent council charter and meeting minutes can be found here.
